Equal Employment Opportunity Policy Company Name: Effective Date: Policy Owner: Approved By: EEO Officer: POLICY STATEMENT & COMMITMENT - The Organization is committed to providing equal employment opportunities to all individuals regardless of race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, veteran status, or any other characteristic protected by law. - This policy applies to all employees, applicants, contractors, and third parties who interact with the Organization's workforce. Every manager and supervisor is personally responsible for upholding equal opportunity standards. - The Organization shall designate an EEO Officer responsible for overseeing compliance, investigating complaints, monitoring workforce demographics, and reporting to the executive leadership team. PROHIBITED CONDUCT - The Organization prohibits all forms of unlawful discrimination in employment decisions, including disparate treatment based on a protected characteristic and policies or practices that create unjustified disparate impact. - Harassment based on any protected characteristic is strictly prohibited, including verbal, physical, visual, or electronic conduct that creates an intimidating, hostile, or offensive work environment. - Retaliation against any individual who reports a concern, files a complaint, participates in an investigation, or opposes discriminatory practices is strictly prohibited and shall be treated as an independent policy violation. COMPLAINT & INVESTIGATION PROCEDURES - Any employee who believes they have been subjected to discrimination, harassment, or retaliation shall report the conduct to their supervisor, the HR department, or the EEO Officer. Multiple reporting channels are available, including a confidential hotline. - The Organization shall investigate all complaints promptly, thoroughly, and impartially. Investigations shall be completed within 30 calendar days of receipt of the complaint, with findings documented and communicated to the parties. - Where an investigation substantiates a violation, the Organization shall take prompt and proportionate corrective action, which may include counselling, mandatory training, reassignment, suspension, or termination of employment. - All complaint and investigation records shall be maintained confidentially by the HR department for a minimum of 7 years. Information shall be disclosed only on a need-to-know basis. REASONABLE ACCOMMODATIONS - The Organization shall provide reasonable accommodations to qualified individuals with disabilities and to employees with sincerely held religious beliefs, unless the accommodation would impose an undue hardship on the Organization. - Accommodation requests shall be directed to the HR department, which shall respond within 10 business days and facilitate the interactive process between the employee, their supervisor, and any relevant medical or accessibility professionals. - The Organization shall maintain the confidentiality of all medical information and accommodation records. Such records shall be stored separately from general personnel files. MONITORING, TRAINING & POLICY REVIEW - All employees shall complete mandatory EEO training within 30 days of hire and annually thereafter. Managers and supervisors shall complete additional training on recognising, preventing, and responding to discrimination and harassment. - The EEO Officer shall monitor workforce demographics, complaint trends, and hiring metrics by protected category on a quarterly basis to identify and address potential disparities or systemic barriers. - This policy shall be reviewed at least annually by the EEO Officer in consultation with Legal Counsel. Amendments shall be communicated to all employees at least 14 calendar days before the effective date.
