Employee Referral Program Policy Company Name: Effective Date: Policy Owner: Approved By: Referral Bonus Amount: PURPOSE & SCOPE - This policy establishes a formal Employee Referral Program to leverage existing employees' professional networks for identifying qualified candidates, thereby reducing time-to-hire and improving quality of hire. - The program applies to all permanent employees who refer candidates for approved open positions. Referrals must be submitted through the designated portal before the candidate applies independently. - All referred candidates shall undergo the same screening, assessment, and selection process as non-referred candidates. No preferential treatment shall be accorded on the basis of a referral alone. ELIGIBILITY & EXCLUSIONS - All permanent employees who have completed their probationary period are eligible to participate. Employees in the HR department, the Hiring Manager for the specific role, and members of the executive leadership team are excluded. - Referrals are accepted for all approved open positions except those designated as confidential searches, internal-only postings, or executive-level roles managed through retained search firms. - A candidate may only be referred once per requisition. If multiple employees refer the same candidate, the referral bonus shall be awarded to the employee who submitted the referral first. REFERRAL BONUS STRUCTURE - Referral bonuses shall be tiered based on the level and criticality of the role: standard roles at $1,500, specialist and mid-level roles at $2,500, and senior and hard-to-fill roles at $5,000. - The referral bonus shall be paid in two instalments: 50 percent upon the referred candidate's joining date and 50 percent upon the candidate's successful completion of the probationary period. - If the referred candidate or the referring employee separates from the Organization before the second instalment is due, the remaining bonus payment shall be forfeited. No pro-rated payments shall apply. - The Organization may run time-limited referral campaigns offering enhanced bonuses for specific hard-to-fill roles or diversity-focused hiring initiatives, as announced by the HR department. REFERRAL PROCESS & TRACKING - All referrals shall be submitted through the Organization's designated referral portal, including the candidate's resume, the referring employee's contact details, and a brief statement of recommendation. - The Talent Acquisition team shall provide the referring employee with status updates at key milestones: application received, interview scheduled, offer extended, and candidate joined or declined. - The HR department shall maintain comprehensive records of all referrals, including submission dates, candidate outcomes, bonus payments, and program metrics, for a minimum of 3 years. PROGRAM INTEGRITY & GOVERNANCE - Fraudulent referrals, including fabricated professional relationships or collusion with external recruiters, shall result in forfeiture of the bonus and disciplinary action up to and including termination. - The referring employee shall disclose any familial or financial relationship with the referred candidate at the time of submission. Failure to disclose a material relationship shall disqualify the referral. - This policy shall be reviewed annually by the HR department. The Organization reserves the right to modify bonus amounts, eligibility criteria, or program terms at any time with 30 days' advance notice.
