Employee Recruitment Policy Company Name: Effective Date: Policy Owner: Approved By: Industry Sector: PURPOSE & SCOPE - This policy establishes a structured and transparent recruitment framework to ensure the Organization attracts, evaluates, and selects the most qualified candidates for all positions through a fair and merit-based process. - The Human Resources department shall serve as the custodian of this policy and shall be responsible for its implementation, periodic review, and consistent application across all departments and business units. - All recruitment activities shall comply with applicable federal, state, and local employment laws, including equal opportunity statutes, anti-discrimination legislation, and data privacy regulations. WORKFORCE PLANNING & JOB REQUISITION - The Organization shall conduct an annual workforce planning exercise aligned with strategic business objectives and the approved budget to identify current and projected staffing needs across all departments. - All hiring shall be initiated through a formal job requisition submitted by the Hiring Manager, containing the business justification, role specifications, reporting structure, employment type, and budget allocation. - Each requisition shall be accompanied by a comprehensive job description that clearly defines the role's responsibilities, required qualifications, competencies, and performance expectations. - The Organization shall prioritise internal candidates for open positions. All vacancies shall be posted on the internal careers portal for a minimum of 5 business days before external sourcing begins. SOURCING & CANDIDATE PIPELINE - The Organization shall utilize a diversified mix of recruitment channels, including the corporate careers page, job boards, professional networks, campus recruitment, and approved staffing agencies. - All job postings shall include a clear job title, key responsibilities, required qualifications, compensation range where legally mandated, and the Organization's equal opportunity statement. - External recruitment agencies may be engaged only when internal sourcing is insufficient. All agencies must be contracted through the HR department using the Organization's standard terms. - The Organization shall build and maintain a talent pool database of qualified candidates from previous recruitment cycles who may be considered for future openings, subject to data privacy requirements. SCREENING, ASSESSMENT & SELECTION - All applications shall be screened against pre-defined, job-related criteria documented in the approved requisition. Screening decisions must be recorded in the applicant tracking system with clear rationale. - The interview process shall consist of a minimum of two stages: an initial screening interview by the Talent Acquisition team, followed by at least one structured interview with the Hiring Manager and a panel member. - The Organization shall employ structured assessment methods including competency-based questions, technical evaluations, and where appropriate, psychometric assessments validated for job relevance. - All hiring decisions shall be documented with evaluation scorecards, panel consensus notes, and the rationale for the final selection. Unsuccessful candidates shall be notified within 10 business days of the decision. OFFER, ONBOARDING & COMPLIANCE - All offers of employment shall be approved in accordance with the Organization's authority matrix before being communicated to the candidate. Compensation shall be determined using market data and internal equity analysis. - Reference checks shall be conducted for all external candidates receiving a conditional offer. A minimum of two professional references shall be obtained, including one from a direct supervisor. - The Organization shall provide every new hire with a structured onboarding program covering organizational orientation, policy acknowledgement, and role-specific training during the first 90 days. - This policy shall be reviewed at least annually by the policy owner in consultation with Legal Counsel. Violations may result in disciplinary action up to and including termination of employment.
