Diversity & Inclusion Hiring Policy Company Name: Effective Date: Policy Owner: Approved By: D&I Program Lead: PURPOSE, VISION & SCOPE - This policy establishes the Organization's commitment to building a diverse and inclusive workforce by embedding equity-focused practices into every stage of the recruitment and hiring process. - The Organization shall set measurable diversity representation targets aligned with the available talent market and shall track progress against these targets on a quarterly basis. - All hiring decisions shall remain merit-based. This policy supplements, and does not replace, the Organization's standard recruitment and equal employment opportunity policies. INCLUSIVE JOB DESIGN & SOURCING - All job descriptions shall be reviewed for inclusive language, elimination of unnecessary requirements, and accessibility. The Organization shall use gender-neutral language and avoid jargon that may deter diverse applicants. - The Organization shall actively source candidates from diversity-focused job boards, professional associations, community organizations, HBCUs, HSIs, and other institutions serving underrepresented populations. - The Organization shall require a diverse candidate slate of at least 30 percent underrepresented candidates for every open position before the interview stage commences. - The Organization shall review and remove unnecessary barriers in the application process, including excessive application form length, mandatory social media profiles, and requirements that are not essential for the role. BIAS-FREE ASSESSMENT & SELECTION - All interview panels shall include at least one member from an underrepresented group and at least one member who has completed advanced bias-free interviewing training. - The Organization shall implement structured interviews with standardised questions and scoring rubrics for all positions. Unstructured or conversational interviews are prohibited as the sole assessment method. - The Organization shall implement blind resume screening for initial application review, removing candidate names, photos, addresses, and other identifying information that is not job-relevant. INCLUSIVE ONBOARDING & RETENTION - The Organization's onboarding program shall include diversity and inclusion orientation, connection with employee resource groups, and assignment of a buddy or mentor from a similar or allied background where requested. - The Organization shall track retention rates by demographic group and shall investigate any disparities exceeding 5 percentage points. Exit interview data shall be analysed for patterns related to inclusion and belonging. - The Organization shall conduct an annual inclusion survey measuring employees' sense of belonging, psychological safety, equitable treatment, and access to opportunities, with results disaggregated by demographic group. ACCOUNTABILITY, METRICS & GOVERNANCE - Diversity hiring metrics shall be incorporated into the performance objectives of all Hiring Managers, Talent Acquisition team members, and senior leaders. Achievement against D&I goals shall factor into annual performance evaluations. - The Head of Diversity and Inclusion shall report quarterly to the executive leadership team on diversity hiring metrics, representation trends, inclusive hiring compliance, and progress against annual targets. - This policy shall be reviewed annually by the Head of Diversity and Inclusion in consultation with Legal Counsel, external D&I advisors, and employee resource group leaders.
