PURPOSE & SCOPE
- This policy establishes guidelines for accrual, usage, and management of paid time off for all eligible employees of the Organization.
- PTO encompasses vacation days, personal days, and any other paid leave categories defined by the Organization, consolidated into a single leave bank for operational simplicity.

ELIGIBILITY & ACCRUAL
- All regular full-time employees are eligible for PTO from their date of hire. Part-time employees accrue PTO on a pro-rata basis relative to their scheduled hours.
- PTO accrues on a per-pay-period basis. Accrual rates increase with length of service as defined in the Organization's accrual schedule.
- Employees do not accrue PTO during unpaid leave, suspension, or any period of inactive employment status.

REQUESTING & SCHEDULING PTO
- Employees shall submit PTO requests to their direct manager at least 5 business days in advance for planned absences. Requests are subject to manager approval based on business needs.
- For unplanned absences, employees shall notify their manager as early as possible on the day of absence and record the time as PTO.

CARRYOVER, CAP & FORFEITURE
- Employees may carry over a maximum number of unused PTO days to the following calendar year, as defined in the Organization's carryover schedule. Any balance exceeding the cap shall be forfeited.
- The Organization does not permit negative PTO balances. Employees may not take PTO in excess of their accrued and available balance.

PTO PAYOUT UPON SEPARATION
- Upon voluntary or involuntary separation, employees shall receive a payout for all accrued and unused PTO at their current base rate of pay, subject to applicable tax withholdings.
- Employees who resign without providing the required notice period may forfeit a portion of their PTO payout as determined by the Organization's separation procedures.

POLICY ADMINISTRATION & REVIEW
- The HR department is responsible for administering this policy, maintaining PTO records, and resolving any disputes related to PTO accrual or usage.
- This policy shall be reviewed annually by the policy owner and updated as necessary to reflect changes in legislation, business requirements, or organizational practices.
