Whistleblower Protection Officer:

PURPOSE & SCOPE
- This Whistleblower Policy establishes a framework for the reporting, investigation, and resolution of concerns regarding illegal, unethical, or improper conduct within the Organization, and provides robust protections for individuals who raise such concerns in good faith.
- This policy applies to all employees, officers, directors, contractors, vendors, and any individual with a legitimate relationship with the Organization who wishes to report a concern about misconduct.
- The Organization shall designate a Whistleblower Protection Officer responsible for overseeing the operation of this policy, receiving reports, ensuring investigations are conducted, and monitoring for retaliation.

REPORTABLE CONCERNS
- Reportable concerns include any conduct that the reporter reasonably believes constitutes a violation of law, fraud, financial misstatement, corruption, bribery, a threat to health or safety, environmental damage, or a material breach of Organization policy.
- Personal grievances, individual employment disputes, and routine HR complaints are generally outside the scope of this policy and should be addressed through the Organization's standard grievance and complaint procedures.
- Reports should include sufficient factual detail to enable the Organization to assess and investigate the concern, including what occurred, when, who was involved, and any evidence or witnesses known to the reporter.

REPORTING CHANNELS
- The Organization provides multiple confidential reporting channels, including direct reporting to the Whistleblower Protection Officer, a third-party ethics hotline, and a secure online portal that permits anonymous submissions.
- All reports shall be acknowledged within 5 business days of receipt, and the reporter shall be kept informed of the progress and outcome of the investigation to the extent consistent with confidentiality and legal requirements.
- The Organization recognises the reporter's right to make disclosures to external regulatory bodies where the reporter has a reasonable belief that internal reporting would be futile or would result in retaliation.

INVESTIGATION PROCESS
- All reports shall be assessed and investigated promptly by qualified personnel. Investigations shall be conducted impartially, thoroughly, and with due regard for the confidentiality and rights of all parties involved.
- The investigator shall have the authority to access relevant documents, records, and systems, and to interview any employee or stakeholder as necessary to establish the facts.
- Upon completion, the investigation report shall be presented to the appropriate governance body, which shall determine the corrective and disciplinary actions to be taken.

PROTECTION & NON-RETALIATION
- The Organization strictly prohibits retaliation in any form against individuals who make reports under this policy in good faith. Retaliation shall be treated as a serious disciplinary offence, regardless of the outcome of the underlying investigation.
- Reporters who experience retaliation may file a complaint with the Whistleblower Protection Officer, and the Organization shall take immediate steps to stop the retaliation and restore any lost benefits or opportunities.
- This policy shall be reviewed annually, and all employees shall receive mandatory whistleblower awareness training upon hire and on an annual basis.

Everything you need to know

01What Is a Whistleblower Policy?

A whistleblower policy gives employees a safe, confidential way to report suspected wrongdoing such as fraud, corruption, safety violations, or legal breaches, without fear of retaliation. It defines what should be reported, the channels for doing so, and how reports are investigated. The policy protects people who raise concerns in good faith and ensures serious issues surface internally before they escalate.

02Why Companies Need a Whistleblower Policy

Employees are often the first to spot fraud, misconduct, or safety hazards, but they stay silent if they fear reprisal. A whistleblower policy encourages early internal reporting, helping the company detect and fix problems before they become crises or public scandals. It supports compliance with laws that protect whistleblowers, reduces legal and financial risk, and reinforces a culture of accountability and integrity.

03What a Whistleblower Policy Should Include

Explain what qualifies for reporting and provide multiple confidential channels, including an option that bypasses line management. Guarantee confidentiality and a strong non-retaliation commitment, with consequences for anyone who retaliates. Describe how reports are received, investigated, and resolved, and allow anonymous reporting where possible. Clarify good-faith protection even if a concern proves unfounded, and reference relevant legal protections.
