Dress Code Policy Company Name: Effective Date: Policy Owner: Approved By: Dress Code Standard: PURPOSE & SCOPE - This Dress Code Policy establishes the standards of professional appearance and attire expected of all employees, ensuring that personal presentation reflects the Organization's brand, values, and the expectations of its clients and stakeholders. - This policy applies to all employees and contractors across all locations, whether working on-site, at client premises, at business events, or in any setting where the individual represents the Organization. - The HR department shall administer this policy, provide guidance on appropriate attire, and address any questions or concerns regarding the application of the dress code standards. GENERAL DRESS CODE STANDARDS - The Organization's standard dress code is business casual, which includes smart, clean, and well-maintained clothing appropriate for a professional office environment. Specific examples of acceptable and unacceptable attire are provided in the policy guidelines. - Employees in client-facing roles or attending formal meetings, presentations, or external events shall dress in business professional attire unless otherwise instructed by their manager or the event organiser. - The Organization may designate casual dress days, during which relaxed attire is permitted. Even on casual days, clothing must be clean, in good condition, and appropriate for a professional workplace. GROOMING & PERSONAL HYGIENE - All employees are expected to maintain good personal hygiene and a neat, clean appearance. Hair, facial hair, and nails shall be clean and groomed in a manner appropriate to the employee's role. - Fragrances, including perfumes, colognes, and scented personal care products, should be used in moderation out of consideration for colleagues who may have sensitivities or allergies. - Tattoos, piercings, and body modifications are generally permitted provided they do not display offensive content, create a safety hazard, or conflict with the reasonable expectations of clients or the public in the employee's role. ACCOMMODATIONS & EXCEPTIONS - The Organization shall accommodate religious dress and grooming practices, including head coverings, turbans, modest clothing, and religious jewellery, in compliance with applicable anti-discrimination laws. - Employees with medical conditions or disabilities that affect their ability to comply with the dress code may request a reasonable accommodation through the HR department. - Requests for exceptions to the dress code for cultural, personal, or other reasons shall be considered on a case-by-case basis by the HR department, balancing individual expression with professional standards. ENFORCEMENT & POLICY REVIEW - Managers are responsible for addressing dress code non-compliance promptly and respectfully, beginning with a private conversation. Repeated non-compliance may result in formal disciplinary action. - This policy shall be reviewed at least annually to ensure it remains appropriate, inclusive, and aligned with the Organization's culture, industry norms, and applicable legal requirements.
